Practice Enhancement Program (PEP)
Who They Are
PEP is an educational program that offers Saskatchewan physicians an assessment of the health of their individual practices. It is designed to encourage continual improvement of physicians’ clinical skills and streamline office functions in order to provide higher quality patient care to Saskatchewan residents.
The workflow process PEP was using to assess physicians in Saskatchewan was manual, off-line and tedious. They were using an archaic database that was isolated to one system in their office with limited backups and accessibility.
They were spending a lot of time, and money, working through the various steps they needed to fulfill their overall mandate.
Mailing printed forms, receiving fax confirmations, manually entering data to their database, etc. It took an inordinate amount of time and was really inefficient. They needed a change!
Our Solution
Through a Request for Proposal (RFP) process we were awarded the contract. It was time to get them out of the stone age – sorry, but its true!
Step 1
We sat down with them to understand the entire process - how they did what they did and the requirements to complete a single physician assessment.
We learned about the different people involved and how they were each connected to the process.
This was a crucial step as it showed us the ‘how and why’ of their job so that we could determine the best way to make things more efficient while including everything they would need.
Step 2
Once we were familiar with the entire process, we mapped out a detailed master functionality document. This outlined each step, who would be involved, the approvals required, what functions were required, and the expected end results.
This document became our, and the client’s, go-to as it clearly outlined the entire process.
We also determined how we would convert their manual, off-line work-flow to an automated online solution.
Step 3
Roll up our sleeves and build a workable solution.
We designed and developed a custom online database for PEP. This database not only manages all of their assessments but also unlocks key steps for other users involvemed with the assessment process.
Physicians, assessors and patients complete the information requirements online without PEP manually entering anything on their end. Once this is done it triggers further actions, fully automating PEP’s assessment process.
Each user group has their own secure access point that shows only what they need to complete before pushing the process forward. PEP has full control over all steps within each assessment and can oversee individual areas.
The Result
PEP now has a secure, online solution for their day-to-day workflow process.
They can access their new database from anywhere with an internet connection, even on a mobile device!
They can generate reports, review progress and interact with the different groups all through one login. Automating their work-flow streamlined communication, reduced costs and errors, and created much better overall efficiency.
